§ III.2

Scope of This Policy

This Policy applies to personal data we collect through our website, our Services, and our sales and marketing communications, including outreach by email, LinkedIn, WhatsApp, cold calling and platforms such as RedNote (Xiaohongshu). It covers Corporate Clients' Participants, Individual Clients, and prospective clients we contact directly.

This Policy does not cover how third-party platforms, such as Zoom, Stripe, Calendly, LinkedIn, WhatsApp or RedNote, handle your data once you interact with them directly. We encourage you to review those platforms' own privacy policies.

§ III.3

Information We Collect

Identity and contact data: name, job title, employer, email address, phone or WhatsApp number, and LinkedIn profile.

Engagement data: Session attendance, recordings where consented to, training goals, and progress notes.

Payment data: processed directly and securely by Stripe; BEOS does not receive or store full card numbers.

Communications: emails, WhatsApp messages, and Calendly booking details.

Website usage data: where analytics or similar technologies are enabled, this may include IP address, browser type, and pages visited.

Data a Corporate Client provides to us about its employees or Participants, for the purpose of administering the training programme.

How We Use Your Information

We process personal data for the following purposes and on the following legal bases: to deliver and administer the Services and process payment, on the basis of performance of a contract; to communicate with you about bookings, scheduling and programme logistics, on the basis of performance of a contract or our legitimate interest in running the engagement smoothly; to send marketing communications about our Services, on the basis of your consent, or, for existing business contacts, our legitimate interest, subject always to your right to opt out at any time; to improve our Materials, curricula and training methodology, on the basis of our legitimate interest; to comply with legal, tax and accounting obligations, on the basis of legal obligation; and to establish, exercise or defend legal claims, on the basis of our legitimate interest.

§ III.5

Who We Share Your Information With

We do not sell personal data to third parties. We share personal data only with the following categories of recipient, each acting as our processor or, where relevant, as an independent controller of data you provide directly to them: Stripe, for secure payment processing; Zoom, for the delivery of live Sessions; Calendly, for scheduling and booking management; WhatsApp (Meta), for direct communication where you choose to use this channel; our website hosting provider, for operating beos.consulting; and our email service provider, for sending programme-related and marketing communications.

Where relevant to a Corporate Client's engagement, we may share limited progress updates about a Participant with that Client's designated HR or learning and development contact, as agreed in the engagement. We may also disclose personal data where required by law, regulation, or a valid order of a court or public authority.

§ III.6

International Data Transfers

Because BEOS works with Clients and Trainers across the United Kingdom, the Gulf region, Brazil, China and elsewhere, and because some of the processors listed above operate outside the United Kingdom and European Economic Area, including in the United States, personal data may be transferred internationally. Where this occurs, we rely on appropriate safeguards, such as the UK International Data Transfer Addendum, the European Commission's Standard Contractual Clauses, or the recipient's own recognised adequacy or certification mechanism, and we only transfer the data reasonably necessary for the purposes described in this Policy.

§ III.7

Data Retention

We retain personal data for as long as necessary to deliver the Services, manage the Client relationship, and meet our legal, tax and accounting obligations, generally up to six years after the end of an engagement for financial records, in line with UK requirements. Session recordings, where made, are typically retained for ninety days unless a longer period is agreed for training quality purposes. After the applicable retention period, personal data is securely deleted or anonymised.

Cookies & Similar Technologies

Our website may use strictly necessary cookies to operate correctly, and, where enabled, analytics cookies to help us understand how the site is used. Where required by law, we will request your consent through a cookie banner before setting any non-essential cookies, and you can manage or withdraw your preferences at any time through your browser settings.

§ III.9

Data Security

We apply reasonable technical and organisational measures, including access controls, encrypted payment processing through Stripe, and confidentiality obligations on our Trainers, to protect personal data against unauthorised access, loss or misuse. No system can be guaranteed completely secure, and we cannot guarantee the absolute security of data transmitted over the internet.

§ III.10

Your Rights

Depending on your location, you may have the right to access the personal data we hold about you, request correction of inaccurate data, request erasure of your data, restrict or object to certain processing, request data portability, and withdraw consent at any time where processing is based on consent. You also have the right to lodge a complaint with a supervisory authority, such as the UK Information Commissioner's Office at ico.org.uk, or your local data protection regulator. § III.11

Children's Privacy

Our Services are intended for working professionals and are not directed at, or knowingly offered to, individuals under the age of eighteen. We do not knowingly collect personal data from children.

§ III.12

Changes to This Policy

We may update this Policy from time to time to reflect changes in our practices or legal requirements. The updated version will be posted with a revised effective date, and, where changes are material, we will take reasonable steps to notify active Clients.
